Power Distribution Panel Buying Checklist: 8 Steps I Use Before I Sign a PO

Who this checklist is for

If you're an admin buyer, office manager, or operations coordinator who's been asked to source a power distribution panel, distribution board, custom electrical control panel, LV switchgear panel, 3 phase consumer unit, or 400 amp breaker box, this is for you. I'm the office administrator for a 180-person manufacturing company. I manage all MRO and electrical purchasing—roughly $1.8M annually across 14 vendors. I report to both operations and finance.

I'm not an electrician. I don't size breakers or design busbars. But I do know how to keep a purchase from becoming a budget problem. Here are the 8 steps I run before I sign a PO. It usually takes me 2-3 hours upfront. It has saved me way more than that in rework.

Step 1: Get the actual load and service details in writing

Don't start with a price. Start with the electrical requirements. Ask your facilities lead or electrical contractor for:

  • Voltage and phase (for example, 480Y/277V 3-phase, 208Y/120V 3-phase, or 240V 1-phase)
  • Total connected load and calculated demand load
  • Available fault current at the point of installation
  • Indoor or outdoor location, and environmental conditions

When I first started buying electrical gear, I assumed a '400 amp breaker box' was a universal item. It isn't. A 400A panel for a 208V service is a different animal from a 400A panel for a 480V service. Voltage, phases, interrupting rating, and enclosure type all change the price and the lead time.

Step 2: Confirm the standards and listings

This is where you separate real suppliers from resellers who just forward quotes. For industrial control panels in the US, the key reference is UL 508A, the standard for industrial control panels. For installation, your electrician will care about NFPA 70—the National Electrical Code (NEC). Enclosure types usually follow NEMA 250 or equivalent IEC ratings.

Ask for:

  • UL 508A listing or UL recognized components, if it's a custom control panel
  • Short-circuit current rating (SCCR) label
  • NEMA enclosure type that matches the environment—Type 1 for dry indoor, Type 12 for dust, Type 3R for outdoor rain, Type 4X for washdown/corrosion
  • Component datasheets for breakers, contactors, and PLCs

Here's the thing: a low quote often skips the SCCR calculation or uses unlisted components. That's not a discount. That's a future inspection failure.

Step 3: Ask for a single-line diagram and enclosure schedule

If the vendor can't provide a single-line diagram, walk away. The single-line shows how power flows from the main breaker to each branch circuit. The enclosure schedule lists every box, its dimensions, NEMA rating, and mounting details.

Check for:

  • Main breaker size and interrupting rating
  • Branch breaker sizes and types
  • Busbar material and rating
  • Wire bending space and gutter size
  • Labels and nameplates

This is also where I check PLC compatibility. Our controls team standardizes on Allen-Bradley PLCs, so I make sure the panel builder knows the I/O count and communication protocol before they quote. If they try to substitute a no-name controller without asking, that's a red flag.

Step 4: Verify SCCR and breaker coordination before comparing price

Most admin buyers skip this. I used to. Then we had a panel rejected during an insurance audit because the SCCR label didn't match the available fault current. The fix cost us $3,200 in expedited replacement parts and overtime.

Ask the vendor to provide the SCCR calculation and, if needed, a coordination study. The panel's SCCR must be equal to or greater than the available fault current at the installation point. If the vendor says it's fine without documentation, it isn't fine.

UL 508A requires industrial control panels to be marked with a short-circuit current rating. If the panel will be installed where available fault current is high, the SCCR has to be verified—not guessed.

Step 5: Compare total cost of ownership, not unit price

I have mixed feelings about this step. On one hand, finance wants the lowest number on the PO. On the other, I've watched a $4,800 quote turn into a $7,100 invoice after freight, crating, field modifications, and expedited breakers.

Calculate TCO before you compare vendors:

  • Equipment price
  • Freight and crating
  • Taxes and duties
  • Engineering and drawing approvals
  • Field modification labor
  • Startup and testing
  • Spare parts
  • Downtime risk if delivery slips

My rule: if a vendor won't give me an all-inclusive landed cost, I treat their quote as incomplete. The cheapest unit price is often the most expensive project.

Step 6: Validate documentation and invoicing before you order

In 2021, I found a great price from a new panel shop—$2,300 cheaper than our regular supplier. I ordered two custom control panels. They couldn't provide a proper invoice, just a handwritten receipt. Finance rejected the expense report. I ate $2,400 out of the department budget. Now I verify invoicing capability before placing any order.

Ask for:

  • W-9 or tax ID
  • Standard terms: Net 30, deposit required, or COD
  • Ability to invoice against a PO with line-item detail
  • Certificate of insurance, if they'll be on site
  • Warranty terms in writing

No PO-compliant invoice, no order. Simple.

Step 7: Lock down lead time, testing, and inspection

Lead times for 400 amp breaker boxes, LV switchgear, and custom panels can swing from 6 weeks to 20+ weeks depending on breakers and enclosures. Get the lead time in writing, with a penalty or escalation clause if it's critical.

Before shipment, request:

  • Factory acceptance test (FAT) report, if applicable
  • Point-to-point wiring check
  • Hi-pot or insulation resistance test results
  • Breaker and component test certificates
  • Photo documentation of labeling and torque marks

Don't pay the final invoice until you've inspected the panel against the approved drawings. I've seen panels arrive with the wrong NEMA rating because someone assumed indoor/outdoor.

Step 8: Plan spares and documentation handoff

This is the step most people ignore until something fails at 2 a.m. Ask for spare breakers, fuses, and labels. Get the as-built drawings, PLC program backup if applicable, and a bill of materials with manufacturer part numbers.

For Allen-Bradley PLC-based panels, I ask for the program file and communication settings. If the panel builder won't provide them, maintenance can't troubleshoot without calling them. That's a recurring cost you don't see on the quote.

Common mistakes I see admin buyers make

  • Assuming 'standard' means the same thing to every vendor. It doesn't. Voltage, phase, SCCR, and enclosure type must be spelled out.
  • Comparing unit prices only. Freight, crating, and field modifications can add 30-50%.
  • Skipping the invoice check. A cheap vendor who can't invoice properly costs you more than the discount.
  • Not asking for as-built drawings. You'll pay for that omission every time maintenance opens the panel.
  • Ignoring lead time. A 20-week lead time on a 400A panel can shut down a project. Confirm breaker availability early.

None of this is glamorous. But a 2-hour checklist upfront beats a 2-month cleanup later. If you're sourcing a distribution board, custom electrical control panel, or LV switchgear panel, run the steps in order. The order matters.
