Allen-Bradley PLC Purchasing Checklist: What Admin Buyers Need to Know Before Ordering

I manage purchasing for a mid-size facilities services company. That means roughly $350,000 in annual maintenance, repair, and operations spending across about 15 vendors. I report to both operations and finance, which can feel like two different bosses. The technicians want the exact part fast. Finance wants the price controlled. Both are right.

My first Allen-Bradley PLC request looked simple. Part number. Quantity. Delivery date. I treated it like any other spare part: ask for quotes, compare prices, buy from the cheapest source. That plan failed because I missed two details. The software was not included, and the part number needed a hardware revision check.

This checklist is for non-engineers in purchasing, operations, or administration who need to place an Allen-Bradley PLC order. It is not a controls engineering guide. It is a buying guide. It has six steps. If you only buy industrial controls once or twice a year, or if your company is small enough that every dollar matters, this should help.

Before You Start: Know What the Request Actually Says

I should not be selecting the processor. That is not my job. But a buyer can still catch expensive problems before the PO goes out. When I took over this role in 2021, I asked very few questions. I assumed the person requesting the part had listed everything I needed. Sometimes they did. Sometimes they did not.

If a request says Allen-Bradley PLC without a complete catalog number, stop. Ask for the part number from an existing panel label, from a vendor quote, or from the machine drawing. If the request is for a system upgrade, ask for a BOM that lists every processor, power supply, I/O module, and accessory. Then work through the six steps below.

Step 1: Verify the Full Part Number and Hardware Revision

Allen-Bradley part numbers are information-packed. One or two letters can mean a change in supply voltage, communication option, module type, or chassis family. I learned this after I requested the wrong version of a replacement module.

The Micro800 family is a good example. The catalog number includes the controller family, the CPU model, the input voltage, and the I/O type. If a requester says only Micro850, that is not enough. Ask for the exact catalog number from the current hardware or from the bill of materials.

Also ask whether the replacement must match a particular hardware series. A newer series may work with newer software but might not be a drop-in swap for an older panel. I once ordered what looked like the correct PLC on the supplier website. The panel had an older series, and the field technician had to stop work. The hardware cost was smaller than the lost labor.

Step 2: Confirm the PLC Logic Plan

This step is easy to miss because the word PLC can sound like a complete product. It is not.

Allen-Bradley PLC logic is the program that tells the hardware what to do. It is not included in the box. If you are buying a spare processor for a machine, you need the current program file as well. Otherwise the spare is just a spare brain with no instructions.

If you are buying through an integrator, confirm that their proposal includes PLC logic development, commissioning, and documentation. I have seen projects where the hardware quote was approved, and the programming appeared later as an expensive change order. The vendor may not be trying to trick you. The engineer might simply have assumed you knew programming was separate.

If you are buying a software license for Studio 5000 or Connected Components Workbench, check which version your programmer uses. That one detail can prevent compatibility pain later.

Step 3: Benchmark the Real Allen-Bradley PLC Price

Everyone asks about Allen-Bradley PLC price. I do too when a quote arrives. The honest answer is that there is no one public price for Allen-Bradley PLC equipment. List pricing is usually distributor-controlled, and the final number depends on region, quantity, product family, software, and freight.

In early 2025, I compared three quotes for a small CompactLogix PLC package. The lowest hardware quote looked impressive. After adding shipping, the required software, and a later delivery date, the most expensive hardware quote was actually the better purchase for our project. When I compared them side by side, I finally understood something: the cheapest component quote is not the cheapest overall quote.

When you ask for an Allen-Bradley PLC price quote, request the same detail every time.

  • Hardware unit price and manufacturer part number
  • Software license or subscription, if required
  • Engineering, programming, or configuration services
  • Freight, handling, and any restocking terms
  • Lead time and quote expiration date

If one price sits far below the others, ask what you are actually buying. Used equipment can be a reasonable choice in some situations, but grey market, refurbished, or old stock parts are not equivalent to a current authorized unit with a valid warranty.

Step 4: Check Lifecycle Status and Delivery Dates

Allen-Bradley supports some products for decades, but not everything stays in the active catalog. Rockwell Automation publishes lifecycle details for each product family. A good distributor can tell you whether a catalog number is active, nearing end of support, or already past support.

This matters more than it sounds. If a part is obsolete but still in stock, it might work for now. If this is a machine that needs to run for another ten years, buying the last obsolete spare may not be a real solution. You may be better off starting a migration plan before the old part fails.

I also make it a habit to confirm the delivery date during the quote stage and again before payment. During one 2024 vendor consolidation project, a supplier listed PLC availability as two weeks. The line item sat in their system for a month. When I called, the real date was another eight weeks out. I now write the confirmed delivery date in the PO notes.

Step 5: Check Vendor Support and Return Terms

Support is part of the purchase. A vendor who cannot answer a simple pre-sales question about an Allen-Bradley PLC probably will not answer after the sale either. I am not asking them to design a system for free. I am asking them to confirm that the part will work in a typical configuration.

I have had vendors treat small orders like a distraction. Our company does not place million-dollar automation orders every year. We buy what we need, and sometimes the need is a single replacement module. It took me a few years to understand that vendor attitude matters more than vendor size. The suppliers who spent ten minutes helping with a small PO are the ones I still call now for larger work.

Before you approve the payment, ask about restocking fees and return authorizations. I still kick myself for the time I approved an order without checking return policy. The order had to be cancelled, and the restocking charge came out of our department budget. Now I ask at the start.

Step 6: Separate PLCs From Other Control Components

One of the hardest parts of buying controls is that many things are called controllers. A PLC is not the same as a VFD, and a control panel is not necessarily a PLC. When a maintenance request mixes several categories, I slow down and treat every line as its own purchase.

Here is a common one: a VFD controller for pumps. If your site has pumps for water, HVAC, or chemical dosing, you may need a variable frequency drive to control motor speed. A PLC can send a command to the VFD, but the VFD is a separate device. The quote for each needs motor voltage, phase, horsepower, and control signal details. If you leave that detail out, you might order a drive that is too small for the motor.

Another confusing example was a Jandy RS control panel. I am not a pool equipment expert, so when that item appeared in a maintenance request, I had to ask. A Jandy RS control panel is used for pool and spa systems, not industrial PLC control. It goes through a completely different supplier and service path. If someone sends you a list with an Allen-Bradley PLC and a Jandy RS control panel together, resist the urge to order both from the same envelope. Confirm what each item belongs to before contacting a vendor.

Power sources cause another category mistake. People often ask about the difference between a generator and an inverter when they need backup power. A generator burns fuel to produce electricity. An inverter converts DC power from batteries or renewable sources into AC power. They can both supply some backup situations, but they are not interchangeable in runtime, fuel access, or maintenance. If a request just says backup power, confirm the expected run time and fuel or battery setup before ordering.

Final Watch-Outs

Here are the mistakes that keep appearing in my purchase history, in case they help you:

  • Ordering from a photo or unclear email. The photo never shows the full catalog number.
  • Assuming the software is in the price. Usually, software is a separate line item.
  • Skipping the lifecycle check. Active parts are not the same as legacy parts.
  • Choosing a vendor by unit price alone. Delivery and return terms matter more than they appear to at first.
  • Believing that a VFD controller for pumps and a PLC can be configured with the same information. They need different parameters.

You do not need to know how to write Allen-Bradley PLC logic to buy an Allen-Bradley PLC well. You need to ask the person who does know for a complete part number, a program plan, a realistic price benchmark, and a vendor willing to answer questions when your order is small. If a supplier treats a small PO like a problem, that tells you what your next PO would feel like.
